This policy explains what West Wave Wash collects, why it is needed, who may receive it, and the choices available to you.

A quote request is used to respond to that request—not as automatic permission for unrelated marketing.

This policy applies to the West Wave Wash website, quote and service enquiries, and related communications. “West Wave Wash,” “West Wave,” “we,” “us” and “our” refer to the exterior-cleaning business operating in British Columbia under the West Wave Wash name.

We aim to follow applicable Canadian privacy law, including British Columbia’s Personal Information Protection Act and, where it applies, the federal Personal Information Protection and Electronic Documents Act.

Scope + accountability

West Wave Wash is responsible for personal information under its control. The designated Privacy Officer oversees this policy, answers questions, and receives access, correction and privacy-complaint requests.

We collect, use and disclose personal information only for purposes a reasonable person would consider appropriate in the circumstances, or as otherwise permitted or required by law.

Information we collect

The information depends on how you interact with West Wave Wash.

Quote + contact details
Name, email address, postal code or site address, property type, service selection, organization name where relevant, a telephone number if provided, and your communications with us.
Project information
Requested areas, surface or material, visible condition, approximate size, access, timing, pedestrian or site considerations, selected project concerns, and other details you choose to provide.
Photos
Optional images of the project, including any image metadata and incidental details visible in the image.
Campaign attribution
Referral and campaign parameters in the page address, including UTM values, Google and Meta click identifiers, and separate first-touch and latest meaningful acquisition landing pages and referring hosts. Meta attribution cookies already present in the browser are attached only to a Meta-attributed quote request.
Technical requests
Standard connection information—such as an IP address, browser or device details, requested page, timestamp and referring page—may be processed by the final website host and by external resources loaded by the site.

Our service maps show fixed, approximate service areas. They do not request your device location, and the map does not receive the postal code entered in a quote form.

How we use information

  • Respond to an enquiry and communicate about the requested quote or service.
  • Confirm the service area and assess the surface, project fit, access and requested scope.
  • Prepare, explain and follow up on a quote; schedule and provide agreed services.
  • Maintain appropriate customer, project, accounting and dispute-resolution records.
  • Protect the website and communications from abuse, fraud or security incidents.
  • Understand which advertisement, referral or campaign led to a quote request.
  • Meet legal, tax, insurance and regulatory obligations.

Submitting a quote request allows West Wave to contact you about that request. It does not enrol you in promotional email or text marketing. If promotional messages are offered later, they will use a separate choice or another basis permitted by law and will include the required identification and unsubscribe method.

Browser storage, advertising + maps

The site uses session-based browser storage to keep separate first-touch and latest meaningful acquisition attribution while you move between pages. Internal navigation and direct page changes do not overwrite the latest acquisition source. These values may be attached to a quote request so West Wave can understand which source led to the enquiry. Session storage normally ends when that browser tab or session ends.

The site uses Google Analytics 4 to measure visits, page use and successful quote requests. A successful-quote event is sent from the website server only after the quote-delivery provider accepts the email; it does not depend on the thank-you page loading. Analytics events do not include your name, telephone number, email address, postal code, project description or photos. Advertising signals and ad personalization are disabled, and the site does not load or send Google Analytics when a supported browser sends a Global Privacy Control or Do Not Track signal. When either signal is present, browser code clears session attribution and omits attribution and Google Analytics identifiers from the quote submission. A fbclid in the page address records that a visit came through a Meta link; it is not, by itself, Meta Pixel. The site does not currently use Meta Pixel, advanced matching or a conversion API.

When West Wave’s private CRM connection is enabled, validated quote details and source attribution are copied into the access-controlled CRM after Resend accepts the quote email, so the enquiry can be followed up. Advertising click identifiers copied to the private CRM are encrypted and are not included in quote-notification emails. If that connection is unavailable, the accepted email remains the authoritative copy. Optional project photos remain in the quote email for now and are not copied into the CRM.

Google Ads offline milestone reporting is currently restricted to validation-only checks; live conversion uploads remain off. If live reporting is enabled in a separate reviewed release, a CRM lead classified as Google Ads may be reported when it is first marked qualified, booked or paid. The Google Data Manager API receives only the milestone, its timestamp, a stable transaction identifier that does not contain the CRM lead ID, and the applicable Google click identifier (gclid, gbraid or wbraid). A paid milestone may also include the value recorded at that time and the currency CAD. This integration does not send the customer’s name, email address, telephone number, postal code, street address, project text or photos, and it does not use enhanced-conversion customer data. Records are not exported when the quote was submitted with a supported Global Privacy Control or Do Not Track signal, when the CRM source is not Google Ads, or when no Google click identifier is available.

CloudflareHosts and secures the website and private CRM, provides the Turnstile anti-abuse check, and processes standard connection and security information. Cloudflare Web Analytics also measures aggregate page use and real-user performance without cookies or personal data. When the private CRM connection is enabled, Cloudflare also processes the submitted CRM records described above.
ResendDelivers submitted quote details and optional photo attachments to West Wave’s business inbox. Resend states that email data is retained for 30 days on standard plans.
Microsoft 365Receives and stores quote emails in West Wave’s business mailbox.
Google Analytics 4Measures website use and verified quote conversions with advertising signals and ad personalization disabled.
Google Ads + Google Data Manager APIReceives the limited click-identifier conversion data described above only for validation checks at present. Live reporting requires a separate reviewed release. It does not receive enhanced-conversion customer data from this integration.
Google FontsSupplies the website typeface and may receive standard connection information when a page loads.
UNPKG + LeafletDelivers the code used to display interactive service maps on map-enabled pages.
CARTO + OpenStreetMapSupplies map tiles, geographic data and map attribution. Opening the full map also takes you to OpenStreetMap.

These providers handle information under their own terms and privacy policies. External requests may be processed outside British Columbia or Canada and may therefore be subject to the laws of another jurisdiction.

When information may be shared

West Wave Wash does not sell or rent personal information. We may disclose only the information reasonably needed in these situations:

  • To the named providers above for website hosting and security, anti-abuse checks, quote-email delivery, business email and website measurement.
  • To a contractor or service partner where sharing is necessary to assess or complete requested work and is permitted by law.
  • To insurers, professional advisers, regulators, law enforcement or other parties where permitted or required by law, or to protect rights, safety and property.
  • As part of a genuine business sale, financing or reorganization, subject to appropriate confidentiality and legal requirements.

Service providers may process information on West Wave’s behalf, but they are not authorized by us to use it for unrelated purposes. West Wave remains accountable for personal information under its control.

Project photos

Photos are optional and are requested only to help assess the surface, condition, access and potential scope. Upload only images you are authorized to share. Where possible, avoid or crop out faces, licence plates, documents, neighbours and other details unrelated to the project.

Submitting a quote photo does not give West Wave permission to publish it, use it in a portfolio, or use it in advertising or social media. Separate permission will be requested before any identifiable customer or property photo is used publicly.

Retention + security

Personal information is retained only as long as reasonably needed for the purposes described in this policy and for applicable legal, tax, insurance, accounting or dispute-resolution requirements. Information used to make a decision that directly affects an individual is retained for at least the period required by BC law. When information is no longer required, it is securely deleted, destroyed or de-identified.

Unconverted quote requests and their attached photos are ordinarily retained for 12 months after the quote decision, unless a longer period is reasonably needed for an active enquiry, legal obligation or dispute. Completed-customer and accounting records are retained for the periods required for tax, insurance, contractual and business purposes, then deleted or de-identified when no longer needed. Resend states that email data is retained for 30 days on standard plans; the copy received in Microsoft 365 follows West Wave’s business-record schedule. First- and latest-touch campaign attribution uses browser session storage rather than long-term local storage. Google Analytics user-level and event-level data are configured with a 14-month retention period.

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity and location of the information. These may include access restrictions, protected accounts, secure transmission, service-provider review and secure deletion. No website or storage system can be guaranteed completely secure.

Your choices + privacy rights

Subject to applicable law, you may contact the Privacy Officer to:

  • Ask whether West Wave holds personal information about you and request access to it.
  • Request correction of inaccurate or incomplete information.
  • Withdraw consent to an optional use or disclosure, subject to legal or contractual limits and reasonable notice.
  • Ask us to delete information that is no longer required for a legal or legitimate business purpose.
  • Make a privacy complaint or ask how information was collected, used or disclosed.

We may need to verify your identity before responding. We will respond within the time required by applicable law and explain any lawful reason that limits access, correction, withdrawal or deletion.

The website and services are intended for adults and authorized property representatives. We do not knowingly seek personal information from children. A parent or guardian who believes a child submitted information may contact the Privacy Officer.

Changes to this policy

We may revise this policy as the website, providers or privacy practices change. The updated version will be posted here with a new “Last updated” date. If a material change introduces a new purpose or significant new disclosure, West Wave will provide additional notice or seek consent where required rather than relying only on continued browsing.
